This article will help you decide who in your company can see and change what in your TronShop admin
Each person in your company can have their own access to the TronShop admin. For each area of the admin (Orders, Products, Settings and so on) you choose whether the person has No access, can View it, or can Manage it. You can also make a person an Administrator with full access.
Where in admin: Settings → Basic information → Users

The Users page
Go to Settings → Basic information → Users. The page lists everyone in your company, also people with No access, and shows the access each of them has in the Access column, for example Owner, Administrator, View orders, Manage products or No access.
Above the list you can:
- filter by Access: All users, Admin & owner, Custom access or No access,
- Search by name or e-mail,
- click Create account to add a new person to your company (shown only if you may add users).
To give or change a person’s access, click their name or the pencil icon in the Roles column. This opens the Roles & Permissions dialog.
PLEASE TAKE ATTENTION
Deleting a person is not possible on this page. To take away someone’s access, set it to No access, as described in Changing or removing access below.
Owner, Administrator and area access
| Access | What it means |
| Owner | Full access to the whole shop admin. Each shop has one Owner. The Owner’s access is locked on the Users page and cannot be changed there. To change who the Owner is, contact our Support Team. |
| Administrator | Full access to every part of the shop admin, including settings and users. Only the Owner or another Administrator can give or take away this role. |
| Area access | For each area you choose No access, View or Manage. The areas are: Dashboard & insights, Orders, Inquiries, Customers, Products, Content, Marketing, Settings and Users. Dashboard & insights only has No access and View. |
| No access | The person has no role in the shop and cannot work in this shop’s admin. |
What View and Manage allow
View lets the person open the area and see its lists and details. Manage also lets them create, change and delete things in that area. Menus, pages and buttons a person may not use are hidden.
| Area | What it covers | View | Manage |
| Dashboard & insights | Start page, dashboard and insights (revenue and traffic charts) | See the start page, dashboard and charts | – (not available) |
| Orders | Order list, opened carts, purchase orders, payments and order documents | See orders and their details | Also create, change and delete |
| Inquiries | Customer inquiries and demands | See inquiries | Also create, change and delete |
| Customers | Customers, their people, contacts, addresses and customer discounts | See customers | Also create, change and delete |
| Products | Product catalogue, own products, product sort and parameters | See products | Also create, change and delete |
| Content | Pages, menu, articles, files and images, categories and page filters | See content | Also create, change and delete |
| Marketing | Collections, discount coupons and plans, first-visitor discount, feeds and exports, visualisation links | See marketing items | Also create, change and delete |
| Settings | Shop settings: appearance, environment, shopping, suppliers and price policies, communication, integrations and advanced functions | See the settings pages | Also change and save settings, including suppliers and price policies |
| Users | Who can enter the shop admin and what they can do (the Users page) | See the Users page and who has which access | Also add people and change their access (with the limits in Who can change whom) |
What happened when roles were introduced
Roles were introduced with the TronShop release of 21 October 2026. Before that, everyone in your company could change everything in the shop admin. So that nobody lost access:
- Everyone who was using the shop admin became an Administrator, with the same full access as before.
- If your company had only one person, that person also became the Owner.
- People added to your company after that day have No access until someone gives them a role on the Users page.
Nothing changes until you change it. If you want a colleague to have less access, restrict them on the Users page as described below. If your shop does not show an Owner, contact our Support Team.
Giving a colleague access
Someone already in your company (listed with No access):
- Go to Settings → Basic information → Users. Use Access = No access or Search to find the person.
- Click their name or the pencil icon in the Roles column.
- The Roles & Permissions dialog opens. Either tick Administrator for full access, or choose No access, View or Manage for each area.
- Click Save.
A new colleague:
- Go to Settings → Basic information → Users and click Create account.
- Fill in First name, Last name and E-mail (and optionally the job title and the e-mail language) and save. The person is added to your company and gets an e-mail with a link to set their password. The link is valid for 3 days and works once; if it expires, they can use Forgot password on the sign-in page.
- The Roles & Permissions dialog opens straight away. Choose their access and click Save. If you close it without saving, the person stays on the list with No access.
EXAMPLE
A colleague who handles orders and answers customers, but should not touch prices or settings: Orders = Manage, Inquiries = Manage, Customers = View, Dashboard & insights = View, everything else = No access.
If the colleague already has the admin open, they should reload the page to see their new menus.
Changing or removing access
- Go to Settings → Basic information → Users and click the person’s name (or the pencil icon in the Roles column).
- Change the level of the areas you want. To restrict an Administrator, first untick Administrator; the area rows can then be changed.
- To remove a person’s access completely, untick Administrator and set every area to No access.
- Click Save.
While Administrator is ticked, all areas show full access and cannot be changed one by one.
Who can change whom
- The Owner and Administrators can give and take away any access, including Administrator. Nobody can make someone the Owner on this page.
- A person with “Manage users” (but not Administrator) can add people and change their access only for the areas they have themselves. For example, someone with Manage orders can give Manage orders or View orders, but not Manage products. They can never give or take away Administrator.
- Nobody can change their own access. Ask the Owner or an Administrator.
- The Owner’s access cannot be changed on this page.
- Only the Owner or an Administrator can change a person who is an Administrator or has Manage users.
- A person with View users can see the Users page but cannot change anything.
PLEASE TAKE ATTENTION
Manage users on its own lets a person give others only View users or Manage users. To let someone hand out, for example, access to orders and products, give them Manage users together with Manage orders and Manage products. And because everyone who used the admin before roles were introduced became an Administrator, a person with Manage users cannot change those colleagues; only the Owner or an Administrator can. If someone should manage the access of everybody, make them an Administrator.
When you open a person you may not change, the dialog shows why and the fields are locked. The messages you may see:
| Message | Meaning |
| You cannot change your own shop roles. | You opened yourself. Ask the Owner or an Administrator. |
| The shop owner's access is managed in TronCloud Admin. | This is the Owner. To change the Owner, contact our Support Team. |
| This person manages users or is an administrator. Only the shop owner or an administrator can change their access. | You have Manage users, but this person has Manage users or is an Administrator. |
| You can only grant or revoke access that you have yourself. | You tried to change an area you do not have yourself. |
| Only the shop owner or an administrator can grant or revoke the Administrator role. | You are not the Owner or an Administrator. |
| You don't have permission to add users to the shop. | The person has no access yet, and giving a first role needs Manage users. |
Good to know
- TronDesigner editor: the design editor in the admin (in order details and in the product catalogue) is available only to people with Manage orders or Manage products. People with View only can see the orders and products, but not edit designs.
- E-mail monitoring and E-mail errors (Settings → Communications) show customer e-mail addresses, so they need both View settings and View customers.
- E-mail templates (Settings → Communications) are available with Settings access or with Content access.
- A person who has only Users access still sees Settings → Basic information in the menu, with just the Users page in it.
- Suppliers: the Suppliers menu (supplier list, supplier settings and price policies) follows the Settings access. View settings shows it, Manage settings also allows changes. Products access alone does not open it.
- Not allowed? If someone tries an action their role does not allow, they see the message “You don't have permission for this action.” They stay signed in. If they open a page they may not use, they are taken to the first area they can open. A person with no role at all sees “You don't have access to this shop. Ask the shop owner or an administrator to give you a role.”
Saved keys and passwords stay hidden
After you save them, secret values are never shown again, whatever your role. This applies to:
- payment gateway keys and secrets (Settings → Integrations → Online Payments), including the Stripe webhook secret,
- the shop API key (Settings → Integrations → TronShop API Access),
- the TronAPI and TronCalculator keys (Settings → Integrations),
- the reCAPTCHA secret key (Settings → Integrations → Recaptcha V3).
A saved secret is shown as a row of stars (************************). To keep it, leave the stars as they are and save the rest of the form. To replace it, type the new value over the stars and save.
For the shop API key: when you generate a new key, it is shown once so you can copy it. After that only the stars are shown. If you need the key again, generate a new one and give it to whoever uses it.
PLEASE TAKE ATTENTION
If saving a form fails with “The saved value behind a masked field could not be read, so nothing was saved. Enter the value again and save.”, type the secret again in full and save.
Need help?
If a colleague cannot see a menu or page they need, open them on Settings → Basic information → Users and check their access for that area. Remember that nobody can change their own access.
